Terms & Conditions

Quote Validity

Quotes are based on current availability and pricing at the time of proposal. Prices are subject to change without notice due to fluctuations in currency exchange rates, accommodation availability, supplier increases, and general market demand. A quote does not secure availability.

Deposits & Payment Balances

  • A non-refundable deposit may be required at the time of booking.

  • Final payment is due by the date provided in your invoice.

  • If final payment is not received on time, Expedition Everywhere Travel reserves the right to cancel the booking without notice and without refund of any deposit paid.

  • Some bookings may require full payment at the time of confirmation due to supplier terms.

Cancellations

  • Cancellations before final payment will result in loss of the non-refundable deposit and any supplier-imposed fees.

  • Cancellations after final payment may incur significant penalties, up to 100% of the trip cost.

  • Airline tickets are governed by each carrier’s fare rules and may be fully non-refundable or only refundable with fees.
     

We strongly recommend purchasing Travel Insurance to protect your investment.

Travel Insurance

  • Travel Insurance is strongly recommended for all travelers. It may cover:

  • Trip cancellation/interruption

  • Emergency medical care and evacuation

  • Travel delays, baggage loss, and more

  • Expedition Everywhere Travel is not liable for any costs incurred due to illness, injury, delay, or disruption before or during your trip. Insurance coverage is subject to the terms of the policy you select. Some countries may require proof of travel medical coverage before entry.

Passports & Visas

  • A valid passport is required for all international travel. Your passport must be valid for at least 6 months after your return date.

  • Visas may be required depending on your citizenship and destination.

  • It is the traveler’s responsibility to verify and obtain all necessary entry documents.

Travel Documents

  • Final travel documents—including tickets, confirmations, and contact details—will be provided after final payment has been received. These are typically delivered electronically unless otherwise arranged.

  • Note: Entry to a country may still be refused even with valid documentation.

Living Standards & Cultural Differences

  • Travelers acknowledge that standards of safety, health, hygiene, infrastructure, and accommodations in other countries may differ from those in their home country. Part of the value of travel is experiencing these differences.

Prices

  • Prices are subject to change until a deposit is received.

  • Once deposited, you may be offered the option to pay in full to lock in pricing.

  • If total trip costs increase by more than 7% (excluding government taxes or surcharges), you have the right to cancel and receive a full refund.

  • Once paid in full, your pricing is secure—except for government-imposed increases (e.g., taxes, national park fees, or local charges), which are your responsibility.

Force Majure

  • Expedition Everywhere Travel is not responsible for delays, losses, or changes due to events beyond our control, including but not limited to:

  • Natural disasters

  • Strikes or labor disputes

  • Political unrest or war

  • Acts of terrorism

  • Epidemics, pandemics, or government-imposed restrictions

  • We will always act in good faith to minimize disruption, but additional costs incurred are the traveler’s responsibility.

Our Role & Responsibility

  • Expedition Everywhere Travel acts as an agent between you and travel suppliers (hotels, airlines, tour operators, etc.). We are not liable for the acts, errors, omissions, or negligence of these third parties. We reserve the right to adjust itineraries, substitute accommodations, or make other changes as needed for your safety and enjoyment.

  • Any additional costs incurred from these changes will be communicated and handled in accordance with supplier policies. Any savings will be refunded.

Final Notes

  • Always check that your passport is valid and meets destination requirements.

  • Travel Insurance is your best protection—never travel without it.

  • Be sure to read and understand all booking confirmations and supplier terms provided to you.​
